List of all positions, their eligibility, and responsibilities.

 *The term for all positions is 1 year.  

  

President

 

Eligibility: Must be an NVLPC member for a minimum of 1 year and be an LPC in the state of Virginia.

Duties:

·         Preside at all NVLPC general and board meetings

·         Represent NVLPC at meetings and conferences

·         Serve as an ex-officio member of all committees (except the Nominating Committee)

·         Appoints Chairpersons for each standing committee with approval of the Board

·         Appoint special committees as needed

·         Maintain connections with colleagues from other disciplines, universities, and mental health organizations

·         Prepare an annual budget for approval by the Board

·         Request budget proposals from committee chairs for use in the annual budget

·         Collaborate, plan, implement and evaluate with Officers and Directors on short-term and long-term objectives for the organization

 

 

Past President

 

Eligibility:   Must have previously served as President.

Duties:

·         Provides training for the incoming President during transition. 

·         Provides guidance and direction for the incoming president and board.

·         Supports and mentors the new board members during transition.

·         Assists with recruiting volunteers for the board

·         Attends board meetings

 

 

Vice-President

Eligibility: Must be an NVLPC member for a minimum of 1 year and be an LPC.

Duties:

·         Assume leadership/administrative duties in the absence of the Chair

·         Become President for the unexpired term should a vacancy occur in the office of Chair

·         Review bylaws and make suggestions for updates as necessary

·         Other responsibilities as decided by the Executive Board

 

 

Secretary

 

Eligibility:   Must be a member of NVLPC and may be a student, resident-in-counseling, or LPC.

Duties:

·         Maintain attendance record at all NVLPC general and Executive Board meetings

·         Record and provide written minutes (via regular mail, e-mail, or at next board meeting) of all NVLPC general and Board meetings in a  

·         Maintain minutes in a complete, orderly, safe, and orderly manner

·         Transfer minutes to the incoming Secretary to assure accurate history of deliberation and actions of the organization

·         Record all votes and provide written minutes

·         Prepare NVLPC correspondence as directed by the Executive Board

 

 

Treasurer

 

Eligibility:   Must be a member of NVLPC and be a student, resident-in-counseling, or LPC.

Duties:

·         Carries out the responsibilities of a member of the Board of Directors.

·         The treasurer is required to attend all scheduled meetings and actively seek to maintain current knowledge of the organization, its programs, bylaws and articles of incorporation

·         Maintain the Organization’s bank accounts and balance these accounts. Oversees all financial transactions.

1.      Assists in the preparation and monitoring of the budget.

2.      Receive and deposit all NVLPC funds as needed. Administrative assistant usually completes deposits.

3.      Maintain accurate records of all funds received and disbursed.

4.      Reconcile checking account on regular basis in coordination with bookkeepers.

5.      Coordinate with Committees and Board regarding dues collected from membership and other income from newsletter ads, workshops, seminars and contributions.

6.      Review and approve invoices for payment with President or Vice President in the absence of the president.

7.      Ensure the timely and accurate disbursement of authorized funds. Maintain documentation of cheques and/or electronic fund disbursement.  Treasurer's signature should appear on all cheques of the organization with the second signature from any of the board's other directors or staff with signing authority.

8.      Close account books as of June 30th, end of each fiscal year.

9.      Become proficient on YM Website and Blue Pay Financial Processes.

10.  Process payments (for membership, events, and advertisements) on the website.

11.  Respond to member contacts regarding payment questions (like errors, checks not deposited, etc.)

12.  Reconcile website finances with BluePay online credit card payments (and refunds).

·         Reports to the Board of Directors and general membership on finances.

1.      Prepares any required financial reporting forms.

2.      Submit financial statements to the Board on a monthly basis

3.      Submit an annual report to the board and the general membership at the end of the year. Report should be published on website and available to all members.

4.      Oversee tax filings

 

The treasurer position is a volunteer position.  In any case the person responsible filling this position needs to resign, at least 30 days’ notice will be provided to the board before resignation.  Appropriate transition time should be provided.  Exceptions will be considered.

 

This job description is subject to amendment based on the development and needs of the organization. 

 

 

Communication Director

 

Eligibility:  Must be an active member of NVLPC

Duties:

·         Oversees creation, revision, and distribution of all printed materials to membership

·         Reviews and approves all electronic communication with membership for distribution

Events Director

Eligibility:  Must be an active member of NVLPC and a student, resident-in-counseling, or LPC

Duties:  Oversees/coordination of all Events (east, west, workshops)  

·         Oversee scheduling of all events for calendar year

·         Handle all marketing communications of events in newsletter and NVLPC website 

·         Communicate with presenters:  gather bio and presentation descriptions, obtain signed agreement from all presenters and keep in master file

·         Provide website admin with presenter/ event information to be displayed on website

·         Provide admin assistant with all speaker information to coordinate event

·         Maintain on-going contact with event venues each month to ensure accurate planning and update venue with number of attendees prior to event

·         Maintain on-going contact with admin assistant and speaker prior to event to coordinate handouts, power point, etc.

·         Monitors event registration on website and serves as contact

·         Communicates with event chairs on regular basis to ensure events are running smoothly

·         Ensures that admin person tallies event evaluations and results are documented and sent to both speaker and NBCC liaison

·         Attends all board meetings when possible/provides input regarding NVLPC events

·         Attends events as available and provides coverage for event chair if unable to be at a particular meeting.

·         Secures dates/contracts with venues upon start of event season

·         Works with admin when scouting venues for future use

·         Works directly with event chairs/admin assistant to coordinate any last minute changes based on weather, change of speaker, etc.

 

 

Events East/West

Eligibility:  Must be an active member of NVLPC and a student, resident-in-counseling, or LPC

Duties:

·         Assists with recruiting speakers for upcoming season.  Provides Event Director with all necessary speaker information upon securing a speaker.

·         Ensures that speaker has any accommodations needed day of event

·         Attends and ensures events run smoothly and are received well by members for overall event success

·         Ensures that bill for event is given to Treasurer to be paid

·         Assists with on-site/walk-in registration

·         Serves as MC day of event (announcements, speaker intro, etc)

·         Ensures that events are evaluated and given to admin assistant

·         Works directly with venue staff the day of event

·         Assists admin with set up/clean up as needed

·         Attends all board meetings when possible

·         Provides input regarding NVLPC events

·         Works with Event Director and admin assistant to coordinate any last minute changes based on weather, change of speaker, etc

 

 

Membership Director

Eligibility:  Must be an active member of NVLPC and a student, resident-in-counseling, or LPC

Duties:

·         Identify ways to retain NVLPC members

·         Report on memberships statistics

·         Attend all board meetings

 

 

 Multicultural Committee

Eligibility:  Must be an active member of NVLPC and a student, resident-in-counseling, or LPC

Duties:

·         Serve as resource to help members on multicultural-related issues

·         Coordinate and facilitate multicultural events, workshops, and trainings on multicultural topics

·         Submit articles for the NVLPC newsletter

 

 

 NBCC Liason

 

Eligibility:  Must be an active member of NVLPC and a student, resident-in-counseling, or LPC

Duties:

·         Serve as liaison with NBCC in order to ensure NVLPC compliance with requirements for maintaining status as an NBCC Approved Provider

·         Stay informed of NBCC policy regarding the quality and the content for trainings, educational opportunities, and sponsorship of other organizations’ programs

·         Maintain records for accountability and confirmation of attendance

·         Notify Board of any changes or updates

·         Write articles for NVLPC Newsletter on related NBCC topics to update members

 

 

Networking (East & West)

 

Eligibility:  Must be an active member of NVLPC and a student, resident-in-counseling, or LPC

Duties:

·         Create, market, and run opportunities for NVLPC members to network with each other.

·         Select location(s) and dates for events

·         Collaborate with Communications Director to send out emails for promoting events to membership and through the NVLPC yahoo list

·         Coordinate with venues a space for the event

·         Arrive early to set up a sign, bring and share marketing materials, greet and get attendees to sign in

·         Share the sign in with Membership Director

 

 

Newsletter

Eligibility:  Must be an active member of NVLPC and a student, resident-in-counseling, or LPC

Duties:

 

·         Notify and remind board and committee members of coming deadlines for newsletter submissions

·         Edit articles

·         Assemble newsletter content and forward draft to the Director for review

·         Review final online copy and/or copy for printing

·         Complete graphic design and layout from final draft of newsletter

·         Send copy to the webmaster to update NVLPC website

  

 

Resident in Counseling Support

Eligibility:  Must be an active member of NVLPC and a student, resident-in-counseling, or LPC

Duties:

·         Plan and conduct support and informational meetings for members who are in the process of applying for licensure

·         Help members access resources to assist in preparation for the LPC exam

  

 

Student Development

Eligibility:  Must be an active member of NVLPC and a student, resident-in-counseling, or LPC

Duties:

·         Coordinate and promote the annual NVLPC mini-expo, which is the fundraiser for NVLPC scholarships given annually to graduate or doctoral students in counseling.

·         Coordinate and promote the annual NVLPC scholarship program.

·         Create scholarship sub-committee to read scholarship applications and facilitate judging process.

·         Award NVLPC scholarship to the chosen winner(s) at the general membership meeting.

·         Hold 2 – 3 student development meetings annually which are informative and offer support to the graduate student membership. Guest speakers or workshop format suggested.

·         Create and maintain student blog on NVLPC website.

·         Respond to student emails and offer resources when needed.

·         Serve as liaison between NVLPC and the universities that offer masters and doctoral programs in counseling.

·         Present informational workshops promoting NVLPC membership for students at universities or Chi Sigma Iota meetings.

·         Serve as contact person for students, professors and administrators

·         Promote participation in NVLPC activities

·         Offer information and support in the transition from student to resident in counseling.

·         Write monthly newsletter articles which are informative and offer support to the graduate student membership. 

 

 

Supervision

Eligibility:  Must be an active member of NVLPC and a student, resident-in-counseling, or LPC

Duties:

·         Maintain current list of LPCs who meet Virginia requirements to provide supervision

·         Serve as contact person for those seeking supervision toward licensure

·         Maintain supervisors referral list

·         Review applications for supervisors

 

 

Workshops

Eligibility:  Must be an active member of NVLPC and a student, resident-in-counseling, or LPC

Duties:

·         Work with the Board to decide workshop themes

·         Find locations for the workshops subject to board approval

·         Seek, enlist, and coordinate with presenters

·         Prepare correspondence negotiating details of respective responsibilities of presenters and NVLPC

·         Prepare and obtain signatures on formal Presenters’ Agreements

·         Prepare flyers, member notification, and articles for the newsletter

·         Purchase refreshments and paper products

·         Organize and participate in set up for, and clean up after workshops

·         Register attendees

·         Prepare and distribute CEU certificates

·         Prepare, distribute, collect, and tally feedback forms for report to NBCC

 

 

 VACC Liaison:

Eligibility:  Must be an active member of NVLPC and a student, resident-in-counseling, or LPC

Duties:

·         Attend VACC meetings in Richmond and serve as liaison between our two organizations.

·         Prepare NVLPC Newsletter articles informing membership of VACC activities.

 

 

Website Director

Eligibility:  Must be an active member of NVLPC .

Duties:

·         Design, maintain and monitor the website for accuracy and currency

·         Implement and edit web pages

·         Redesign web pages as needed

·         Gather website material from a variety of sources

·         Proofread material content

·         Ensure that all website content is uploaded to the site on a timely basis

·         Ensure overall integrity of website through constant review of content, ensuring all links are active and troubleshooting errors

·         Follow up with Board members and committee chairs to update information

·         Research best practices that enhance the value of the website

·         Work to keep the site up to date with available technologies

·         Ensure that the overall navigational design flow of the website is user friendly

·         Monitor the usage and traffic of website
